You keep the sessions you're running. We take care of the rest: venue contracting, room block, guest air, ground transport, meal plans, AV, production, side-activity programming, on-site lead, and invoicing with clean per-cost-center splits that your Finance team will thank you for.

Typical planning timeline: 90-120 days from initial RFP to departure. Rush projects (4-6 weeks) accepted subject to venue availability at a 15 % rush premium. Written contracts with every supplier; we pass them through at cost with a disclosed handling fee.

Venue & lodging

Property sourcing with 3-4 short-listed options in each price band, contract negotiation, room block, F&B minimums, AV rider review. All supplier contracts disclosed to your legal team.

Travel & ground

Guest airline desk, charter pricing if 40+ guests, ground transport with named driver list, late-flight contingencies, arrival-day shuttle waves from the gateway airport.

Production & AV

Rental of screens, sound, lighting, stage, green-room. Certified live technician on site. Record-and-archive option with post-event editing.

Agenda & activities

Team-building activities, side excursions, optional evening programme, wellness add-ons, partner / family day. All co-designed with your People / Ops lead.

Compliance & risk

Certificates of insurance, waivers collection, dietary / accessibility registry, emergency response plan with local medical contacts, 24/7 on-call planner during event.

Invoicing & reconciliation

Per-cost-center invoicing, W-9 / supplier-onboarding packet, final reconciliation PDF, post-event feedback summary, IRS-friendly categorisation.
