Booking, payments, protection and the fine print.

Short answers to the questions travelers send us most often. If something is missing, just write to us.

How does the booking process actually work?
Send us a trip brief via the booking form. A named planner replies within 12 business hours with clarifying questions. You receive a first itinerary draft in 1-2 business days, we revise twice at no cost, and then we send a fee letter. Once you approve it, we take a deposit (usually 25 % of the land portion) and begin formal reservations. Full balance is due 60-90 days before departure depending on the supplier.
Are the prices on your site final?
The prices we publish are honest starting points for the standard season and listed inclusions, quoted per traveler at double occupancy. Single-occupancy supplements, high-season surcharges (Christmas / New Year, European summer peak, Japanese cherry blossom, etc.), and premium-class flights move the number. We always confirm the exact figure in the itinerary draft before asking for a deposit.
What payment methods do you accept?
Credit and debit cards via Stripe (Visa, Mastercard, American Express, Discover), ACH bank transfers via Plaid, and domestic wires for bookings above $25,000. We do not hold full card numbers on our own servers — card data is tokenised by Stripe. No cryptocurrency payments.
Is travel insurance required?
Not required, but we strongly recommend it for any trip over $2,000. We resell plans from Allianz Global Assistance and Travel Insured — including cancel-for-any-reason (CFAR) riders, primary medical evacuation, and pre-existing condition waivers when purchased within 14 days of the initial deposit. Can I change or cancel a trip after booking?
Yes, but supplier-specific rules apply. Most boutique hotel stays allow free cancellation up to 30-60 days before arrival. Cruise lines and rail operators have stricter ladders (usually 25 %, 50 %, 75 %, 100 %). Your itinerary draft and the final invoice spell out the cancellation policy in full before you pay any deposit.
Do you sell airline tickets on their own?
Yes. Our airfare research uses Sabre and Amadeus GDS plus the low-cost carriers that operate outside them. Flat ticketing fee of $85 per passenger applies; details on the airfare service page.
What jurisdictions do you operate from?
Earth Luxe Travel LLC is a limited-liability company registered in the State of Utah, United States, with Utah Entity Number 14668022-0160. Our registered office is 107 S 1470 E, Ste 201, Saint George, UT 84790. All client contracts are governed by Utah law unless another jurisdiction is specifically agreed.
Do you have a physical office to visit?
Our Saint George office is a registered business address, not a walk-in travel shop. Meetings with the planning team happen by video conference or phone. If you need an in-person meeting, we can arrange it in Saint George or Park City by appointment; additional travel time may be added to the planning fee for on-site design.
Do you offer gift vouchers or honeymoon registries?
Yes. We issue signed gift-trip vouchers from $500 upward — they can be redeemed toward any Earth Luxe Travel itinerary within 18 months. Honeymoon registries are supported for any Island Villa, Bespoke Private Journey, or Small-Ship Cruise booking: email admin@earthluxetravel.com to set one up.
How is my personal information handled?
We collect only what's needed to plan, book and protect your trip: your name, contact details, traveler ID numbers, emergency contacts and any accessibility or dietary notes you choose to share. We never sell data. Full details are in the Privacy Policy.
Can you plan travel for groups of 20+?
Yes. Corporate off-sites, milestone birthdays, incentive programmes and family reunions up to 80 guests are part of our regular workload. Group bookings over 12 travelers qualify for dedicated on-site leadership and negotiated group rates; see the Corporate Off-sites page or write to us directly.
